What is a visitor management system?
A visitor management system records who visits your sites, who they are seeing, and when they arrive and leave. In yCloudx it also shows who is on site right now, flags overstays and visits that were never checked out, and turns visit records into reports on busy hours, hosts and frequent visitors.
Can visitors be registered before they arrive?
Yes. Visitors can be registered ahead of time with their company, category, host and site. The overview shows how many registered visitors have not checked in yet.
How does yCloudx show who is on site?
Every visitor who has checked in and not checked out appears in the currently on site list, with their company, host, site, time in and how long they have stayed. You can filter by site and switch to overstays or to visits that were never checked out.
What is an overstay alert?
You set an overstay limit, for example 8 hours. Any visitor still on site after that limit is flagged as overstaying, so security can follow up.
What happens if a visitor is not checked out?
Visits from earlier days without a time out are listed separately, with a reminder showing how many need to be closed. yCloudx also reports check-out compliance, the share of past visits with a time out recorded.
What reports are included?
The visitor overview includes daily check-ins, visits by category and by site, busiest check-in hours, visit duration, top hosts, top visitor companies, frequent visitors, unique visitors and average visit duration, for the date range and sites you choose.
Does it work across multiple sites?
Yes. Visits are recorded against a site, and the overview can show all sites together or be filtered to one.
Does the visitor overview update automatically?
Yes. The overview refreshes on its own every minute and shows when it was last updated, so it can stay open at a security post or front desk.
